- The contents of your message or referral enquiry.
- Information about a young person included in a referral — which we ask professionals to share only where they have permission to do so.
- Feedback, complaint or concern details, including incident information and optional contact details.
How we use it
- To respond to your enquiry or discuss a potential placement.
- To assess whether May Meadows may be able to meet a young person's needs.
- To manage recruitment conversations if you contact us about careers.
- To review feedback, respond to complaints and act appropriately on concerns about safety, conduct or wrongdoing.
Our lawful basis
We process personal information on the basis of legitimate interests (responding to enquiries and operating our service) and, where required, consent or legal obligation. Referral information about children is handled with particular care and only shared with professionals who need it as part of the placement process.
Feedback and concern submissions may contain sensitive information. We handle this information sensitively and share it only where necessary to respond appropriately, protect someone or meet a legal obligation. If you submit anonymously, we do not require identity fields, although details in your account may still identify you to people familiar with the circumstances.
How long we keep it
We keep personal information only for as long as necessary for the purpose it was collected and in line with applicable legal, regulatory and safeguarding requirements, after which it is securely deleted.
Your rights
You have the right to access, correct, erase or restrict the use of your personal information, and to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
